Administrative Specialist (Bilingual)
Essential Responsibilities
  • Providing primary coverage as the main receptionist which includes:
    • Handling visitors, customers, and vendors
    • Answering and routing incoming calls
    • Distributing mail and deliveries
  • Supporting office operations which includes:
    • Reviewing daily timesheets to prepare for payroll
    • Printing and generating documents for field
    • Sorting and scanning tickets, invoices, etc
    • Completing credit applications for new vendors and suppliers
  • Onboarding new hires with orientation to company policies, basic workplace applications training, and completing new hire paperwork
  • Ordering and managing office supplies and inventories for office staff
  • Cross training with other staff members to support as needed, other duties to be assigned
  • Demonstrating professional and ethical behavior aligned to the mission and organizational values of Fessler & Bowman in accordance with federal, state, and local laws
 
Education Requirements
  • Fluency in Spanish and English (Reading, Writing, Speaking)
  • High School Diploma or GED required
  • Associate Degree or equivalent secondary training preferred
 
Experience Requirements
  • 1 year or more of office administrative experience or relevant internship experience
 
Desired Skills and Abilities
  • Strong written, verbal, and interpersonal communication skills
  • Ability to manage time and prioritize tasks to meet deadlines
  • Highly organized with outstanding attention to detail to thrive in a fast-paced environment
  • Proficient in Microsoft Office Applications including Excel, Outlook, and Word
